Speed Week Entry Registrar

1. Description

The registrar processes the entry forms for Speed Week.

 

2. Responsibility

  • Makes sure all the information on the returned entry form is correct and complete.
  • Transcribe the details to the Speed Week Pre-Entry web page and the member profiles page.
  • Where there are multiple entries for the same vehicle, check that the entry numbers follow the DLRA convention.
  • Supply a list of entrants to the Chief Timer in an Excel spreadsheet.
  • Supply a list of entrants to the Newsletter Editor for the Speed Week program.

 

3. Duties

  • Produce yearly Speed Week entry form and distribute.
  • As entry forms are received, add them the the Speed Week Pre-Entries web page.
  • Check that the have nominated for a job during speed week. If not contact the entrant.
  • Coordinate with the Secretary and Treasurer that all fees have been paid.
  • Update Member Profile web page as they are supplied with entries.
  • Check with Record Certification Officer and Entry Number Coordinator that entry details are correct.
  • Supply a list of entrants to the Newsletter Editor for the Speed Week program.
  • Prepare and pack Entry Envelopes for distribution from Registration van at Speed Week.
  • Supply the Chief Timer with an electronic version of the entry list.
  • Hand out entry envelopes at Speed Week.

 

3.1 Volunteer Instructions

On the day of your duty, you report direct to Clerk of Course.

Make sure you sign the Volunteers Book next to your name.

The morning session is from 7.30am to about 12.00 noon, (pick up your DLRA UHF radio from the Registration Caravan).

The afternoon session starts at about 1.00pm till 6.00pm or close of business on that day. (Return the DLRA UHF radio to the Registration Caravan).

You must be ready to start your shift at these times.

Make sure you have a hat, sunglasses, sun cream, snacks. Water is provided from the esky at the pre-stage and there are portable toilets through out the pits.

At the conclusion of Speed Week all equipment is to be collected, packed away and returned to the storage containers at the DLRA camp

  • Good organisational skills.
  • Good verbal and written communication skills.
  • Attentive in identifying and correcting grammar, spelling, and other errors.
  • MS Office and web page editing skills.

Note: The difference between an executive committee member’s role and other roles
A executive committee member role is a strategic position within the club and consequently, a executive committee member is responsible for governing the club. A executive committee member’s role should not be confused with the management and operational roles of an organisation (like a Race Director, Inspector, Timer or Starter). The day-to-day work of the organisation is managed and completed by these volunteers with the club. Unless you also hold an execution (operational) role, it is not your responsibility to perform or be involved in the day-to-day running of the club.
